Your ISO 9001 certificate is valid for 3 years. After 3 years, you need to recertify — or your certificate expires and all the business access it enables disappears. This guide covers exactly what happens at the end of your certification cycle, what the recertification audit involves, and how to prepare efficiently.
The ISO 9001 3-Year Certification Cycle
ISO 9001 certification operates on a 3-year cycle:
- Year 1 — Initial certification audit (Stage 1 + Stage 2). Certificate issued valid for 3 years.
- Year 1, Month 9-12 — First Surveillance Audit (SA1). Smaller audit checking key QMS areas.
- Year 2, Month 21-24 — Second Surveillance Audit (SA2). Another focused review.
- Year 3, Month 30-36 — Recertification Audit. Full audit similar to initial certification. New certificate issued.
If you complete the recertification audit before expiry, there is no gap in certification. If you miss the 3-year deadline, your certificate lapses.
What is the Recertification Audit?
The recertification audit is conducted by your certification body (CB) and is a comprehensive review of your entire QMS — more thorough than surveillance audits:
- Review of all QMS documentation — policies, procedures, work instructions
- Review of 3 years of quality records
- Verification that quality objectives are being set and reviewed
- Check of corrective actions from all previous audits
- Management review records for all 3 years
- Evidence of continual improvement over the certification period
- Internal audit records for all 3 years
- Spot checks on operational processes
How Recertification Differs from Initial Certification
| Factor | Initial Certification | Recertification |
|---|---|---|
| Documentation audit | Full review of new QMS | Review of maintained QMS + 3 years of records |
| Implementation evidence | Evidence of implementation start | Evidence of 3 years of operation |
| Improvement evidence | Plans for improvement | Evidence of actual improvements made |
| Audit duration | Usually 2-3 audit days | Usually 1.5-2 audit days (shorter) |
| Common focus | System design and initial implementation | System effectiveness and continual improvement |
How to Prepare for Recertification
Start preparation 4-6 months before your certificate expiry date. Key steps:
- Review your quality records — Are all records from the past 3 years complete and accessible? Check: calibration records, supplier evaluations, internal audit reports, management review minutes, corrective action register.
- Verify all CAPAs are closed — All corrective and preventive actions from all previous audits must be closed. Open findings from Year 1 surveillance that are still open in Year 3 are a major concern.
- Update documentation — Have any processes, products, or services changed that are not reflected in your current documents? Update before the audit.
- Conduct a pre-audit internal audit — Audit all processes before the CB arrives. Elite Assured can conduct this for you.
- Conduct management review — The Year 3 management review should ideally be held 6-8 weeks before recertification. Ensure minutes are well-documented.
- Contact your CB — Schedule the recertification audit 3-4 months in advance. CBs have busy schedules.
What Happens If Your Certificate Lapses?
If your certificate expires without recertification, serious consequences follow:
- GeM portal listings for ISO-required categories are suspended
- Government tender pre-qualification is lost immediately
- Corporate vendor empanelment may be revoked
- Export buyer qualification may be suspended
- To restart: you must go through a full re-certification process (similar to initial certification) — not just a small recertification audit
Set a Calendar Alert 6 Months Before Expiry
The most common recertification problem: companies forget the expiry date. Set a calendar reminder 6 months before your certificate expires. Elite Assured sends expiry reminders to all certified clients as part of our 12-month support program.
Changing Certification Body at Recertification
Recertification is a natural opportunity to switch to a different CB if you are dissatisfied with your current one. When switching:
- The new CB will conduct a full recertification audit (not transfer your existing certificate)
- Your existing QMS documentation and records are fully usable — nothing needs to be redone
- New certificate will be issued on the new CB's letterhead
- Reasons to switch: better price, preferred CB brand, faster service, specific buyer preference
- Elite Assured works with multiple CBs and can recommend the best option for your recertification
Cost of Recertification
| Component | Cost Range |
|---|---|
| CB recertification audit fee | Rs.20,000 - Rs.80,000 (depends on CB and company size) |
| Elite Assured pre-audit support | Rs.8,000 - Rs.20,000 (preparation and internal audit) |
| Total recertification cost | Rs.28,000 - Rs.1,00,000 |
